Administrative Secretary

Description

Key Responsibilities

  • Perform a range of secretarial and administrative tasks, including preparing case files, reports, correspondence, and official documents; transcribe written and audio content as needed.
  • Organize and coordinate meetings, including scheduling, arranging venues, preparing documents, and taking minutes.
  • Maintain accurate records and implement an efficient document management and filing system.
  • Support ongoing projects by conducting research, analyzing data, and drafting reports.
  • Oversee office supplies and equipment, ensuring operational readiness and coordinating necessary purchases.
  • Undertake additional duties as assigned by management.

Key Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office equipment.
  • Strong word processing skills with an emphasis on speed and accuracy.
  • Experience using electronic records management systems.
  • Excellent organizational and multitasking abilities to manage workloads effectively.
  • Strong written and verbal communication skills.
  • Ability to work independently, take initiative, and exercise sound judgment.
  • Strong interpersonal skills with the ability to interact professionally with internal and external stakeholders.

Educational & Experience Requirements

  • 3–5 years of experience in an administrative or secretarial role, ideally in a structured, regulated, or legal environment.
  • Proven ability to handle confidential and sensitive information with discretion.
  • Background in office operations, including scheduling, correspondence, and data management.
