Corporate Legal Secretary

Key Responsibilities
- Oversee billing and collection processes, including time entry management, drafting invoice narratives, and assisting with accounts receivable collections.
- Arrange travel and meetings, manage diaries, update marketing notes, and process expense claims.
- Maintain and manage solicitors’ calendars to ensure efficient scheduling.
- Coordinate conference calls and meetings, ensuring smooth communication and logistics.
- Support special projects as needed, providing assistance and expertise when required.
- Collaborate with other members of the secretarial team to ensure seamless operations.
- Act as a liaison with government agencies and corporate bodies to facilitate communication and compliance.
- Handle necessary filings with internal and external bodies to ensure timely and accurate submissions.
- Assist in preparing presentations, proposals, pitches, and responses to tenders.
- Maintain organised and efficient document management and filing systems to support accessibility and compliance.
- Maintain and update client databases, contact lists, and case management systems to ensure accuracy and efficiency.
- Take minutes during meetings and ensure accurate documentation and distribution of action points.
Essential Requirements The successful candidate will have
- A minimum of five years of relevant experience, with prior experience in a law firm being essential.
- A degree, legal secretarial, paralegal, and/or project management qualification would be advantageous.
- Proficiency in Microsoft Office Suite, iManage, Billing and CRM systems, and experience with Aderant is preferred.
- The ability to multitask, manage a full caseload, and a typing speed of 70 WPM.
- The capability to work on their own initiative and be flexible to work overtime at short notice when required.
Salary and Benefits
Our client offers a competitive salary commensurate with experience, ranging between CI$50K – CI$90K per annum, plus eligibility for overtime, 20 days’ annual leave, and statutory health and pension benefits.
